Who we are

Contract to Close (“CTC,” “we,” “us”) provides real estate transaction coordination services to licensed real estate agents in Minnesota, Texas, Florida, and Wisconsin. This policy explains how we handle information submitted through ctcforms.com.

Information we collect

We only collect information you enter into our forms. Depending on the form, this may include:

  • Your name, email address, phone number, and mailing address
  • Your brokerage, broker contact information, and team details
  • Transaction and listing details, including property addresses and contract dates
  • Contact information for buyers, sellers, lenders, title companies, and other parties
  • Documents you upload, such as contracts and disclosures
  • Sensitive items you choose to provide, such as commission wire instructions, MLS or document-platform login credentials, and lockbox codes

We do not use cookies for advertising, run third-party trackers, or build advertising profiles.

How we use it

Information is used solely to perform transaction coordination work for you. That includes routing your submission to your assigned Transaction Manager, communicating with the parties involved in your transaction, and maintaining records of the files we manage on your behalf. We do not sell your information, and we do not share it for anyone else’s marketing.

Text messages

CTC staff may receive SMS notifications alerting them that a new submission has arrived. These messages go only to CTC team members who have provided their mobile number for this purpose, never to clients or the general public, and they contain no sensitive information.

Message frequency varies with submission volume. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance. Opting out of text messages does not affect email notifications or any CTC service.

How information is protected

Submissions are stored in a private database that is not publicly readable. Particularly sensitive fields — wire instructions, login credentials, and lockbox codes — are encrypted before storage and are deliberately excluded from notification emails and spreadsheet exports, so they are never transmitted or displayed in plain text. Uploaded documents are kept in private storage and shared only through expiring links sent to the responsible Transaction Manager.

Service providers

We use a small number of vendors to operate this platform, each with access only to what their function requires: Supabase (database and document storage), Vercel (website hosting), Resend (email delivery), Google Workspace (internal record keeping), and Twilio (staff text notifications).

How long we keep it

Submissions are retained for as long as needed to service your transaction and to meet real estate recordkeeping obligations. Saved but unsubmitted drafts are automatically deleted after 30 days. You may request deletion of your information at any time, subject to any records we are required to retain.

Your choices

You may request a copy of the information you have submitted, ask us to correct it, or ask us to delete it. Contact us at becca.naill@contracttoclosemn.com and we will respond promptly.

Changes to this policy

If this policy changes, we will update the date at the top of this page. Material changes will be communicated directly to active clients.
